My Portal Inbox (MPI)

Information sent and received using SafeSend can be accessed using the “My Portal Inbox” feature. When you click “My Portal Inbox”, it will open in the right hand pane of Outlook.  You can select any border or window pane separator and drag, to resize the windows.  Selecting “My Portal Inbox” again, will close the window.

 

 

The “My Portal Inbox” enables you to perform the following from within Outlook:

  • View and Manage Your Inbox Items (files sent through your DropOff Links)
  • View and Manage Your Sent Items (files sent using the Outlook Plugin)
  • Resend Access Links (if you need to resend an “Active” link)
  • Create and Manage Archive Folders: You will NOT be utilizing this feature. This section is not included in this Guide.

 

View and Manage Your Inbox

  • When you receive a “File for Download” email notification, click the “My Portal Inbox” in the SafeSend plugin. Your mailbox will open in the right hand pane of Outlook (it may take a few seconds to open the first time). You do not have to login through the website (Option 2).

 

 

  • You can view all your messages including the Sender’s Name, the Subject and Message Information. Most importantly, you can download the attachments sent to you, directly from here.

 

 

 

  • You can manage your Inbox items by checking the box next to the message and using the command buttons at the top or by right mouse clicking on any of the items.

 

 

 

  • Reply:
    • Reply to a client who has sent you a file. This will launch a new Outlook email to the sender (client). 
  • Forward:
    • Forward a message and file to a coworker or partner. 
  • Delete:
    • To delete the message from your Inbox.
  • Move:
    • You can store messages in archived folders.
  • Change Expiration:
    • Messages in your inbox will expire at the time of your chosen retention policy.

 

 

 

  • Print:
    • Print a 1 page report of the transaction information to PDF or paper copy. 

 

  • In the “Attachments” section, you can download files received, to your computer or network.
    • Download Single Files:
      • Double click on the file you wish to save.
      • Select where you would like to store the file and click “Save”.
      • Once the file has been downloaded, you will see a notification with a link to open the file, if you wish.

 

 

 

  • Download Multiple Files at once
    • To “Download All” files together, select “Download All” button. It will prompt you to select a location to save the .ZIP file containing all the files.
    • Once the ZIP file has been downloaded, you will see a notification with a link to open the .Zip file.

 

 

 

View and Manage Your Sent Items

  • After you send a file using the “Send Link” option, the information is available in the My Portal Inbox “Sent” folder. Accessing sent files from here, will give you access to the documents themselves. If you attempt to access files in your Outlook Sent Items folder, you will only see the embedded link.

 

 

  • You can manage your sent items by checking the box next to the message and using the command buttons at the top or by right mouse clicking on any of the items.

 

 

    • Forward:
      • Forward a message and file to a coworker or partner.
    • Delete:
      • To delete the message from your Sent box. Deleting a transfer will not invalidate any download links OR remove the files. It simply removes the line item from your Sent folder.
    • Move To:
      • You can store messages in archived folders.
  • Change Expiration:
  • Messages in your inbox will expire at the time of your chosen retention policy. 

 

  • Print:
    • To print the message.
  • View Authentication Info:
    • You can view the answer to the authentication question sent to the client. 
  • Resend Access Link:
    • You can resend the link to the recipient in case they did not receive the email notification (See Resend Access Links below for more instruction).
  • Resend QA Authentication Answer:
    • Send an email to the client with the answer to the Link Authentication question. 

Resend Access Links

  • If the recipient, of a “Send as Link” transfer, deleted their access link or lost it, you can resend their access links from the “My Portal Inbox” in Outlook.
    • Check the box of an item in your Sent folder and select the “Resend Access Link” command button on the top. OR
    • Right mouse click on an item in your Sent folder and choose “Resend Access Link”.

This will only be of value if the link is still “Active” (within your set Retention Policy).
