Manage Contact List

The Contact list will contain all of your internal Staff and Firm Admin Users, as well as any Clients utilizing the portal feature for long term storage.  You might also have clients setup in your Contact list if they have requested a User Name and Password to access files. You can access your contact list from the SafeSend web based account or from the Outlook plug-in.

View Contact List from Web Based Account

  • Go to cpaperless.com
  • Click on “Account Login”
  • Log into your SafeSend web based account using your email and password
  • Once logged in, click on “Contacts” tab
  • You can sort the contact list using the Filter feature on the left
  • You can also search for a contact using the “Search” field
    • Type in any part of name or email address and press enter

  • You can edit the contact by clicking on the pencil icon on the right

  • If the contact has already created a password, you can manually change their password
    • Select “Yes” to manually change the password
    • Select “I Will Create” to input a new password
    • Check or uncheck the box for “Email Password on Save”

  • You can select the contact and select the appropriate blue command based on the user group the contact belongs to

  • Client or Guest Group
    • Send Invite – if the invitation status is not “Accepted”, you can use this command button to send invitation to create login password
    • Resend Password – if contact forgets his/her password, use this command button to send password in an email
    • Delete/Deactivate – once the contact is deleted or deactivated, he/she will not have access to login

  • Firm Admin or Staff Group
    • Send Invite - if the invitation status is not “Accepted”, you can use this command button to send invitation to create login password
    • Resend Password - if contact forgets his/her password, use this command button to send password in an email
    • +/- DropOff – if you would like the contact to become a DropOff recipient or change the access, use this command button change “Yes” or “No” status
    • Send License – you can use this command button to send SafeSend licensing information for contact to install and activate the SafeSend Outlook plugin
    • Delete/Deactivate - once the contact is deleted or deactivated, he/she will not have access to login
    • Activate – if the invitation status is “Deactivated”, you can reactivate the contact so he/she will have access to login again

View Contact List from Outlook Plugin

  • In Outlook, click the “More” dropdown menu in the SafeSend Outlook Plugin
  • Choose “Contacts”

  • You can search for the contacts by using the Search Field on the top using either First Name, Last Name or Email

    • Once you start typing in the search field, contacts matching the search field will appear below
  • Click to highlight the contact and right mouse click to select the appropriate command based on the user group the contact belongs to

  • Client or Guest Group
    • Send New Message – you can create a new email message with the contact’s email already populated
    • Show Password – if your firm created the password for the contact and you have the permission to view password, you can see contact’s login password
    • Resend Password – you can send contact’s password in a separate email
    • Send Invitation - if the APM invite status is not “Accepted”, you can use this command button to send invitation to create login password

 

  • Firm Admin or Staff Group
    • Send New Message – you can create a new email message with the contact’s email already populated
    • Show Password – if your firm created the password for the contact and you have the permission to view password, you can see contact’s login password
    • Resend Password – you can send contact’s password in a separate email
    • Resend Product Key – you can send SafeSend licensing information for contact to activate SafeSend Outlook plugin
    • Send Invitation - if the APM invite status is not “Accepted”, you can use this command button to send invitation to create login password
